The RO number, tag, customer name, customer phone number and the work requested. If you fill them in, also the vehicle model and year, VIN, comments and notes, technician, related dates (such as a follow-up date) and the customer update log (when an update was marked, by which advisor, and an optional note).

ROQFLOW does not ask for customer addresses, customer email addresses or customer payment information.

Your name, email address and shop name. Your password is never stored as text; only a one-way encrypted hash is kept. Subscriptions are paid through Stripe, so your card details go to Stripe and never reach ROQFLOW.

Only logins that belong to your shop can see your shop’s board. Other shops cannot see your ROs. All traffic to roqflow.com is encrypted (https).

When an RO is marked picked up or completed, it moves to Archived. Archived ROs are permanently deleted after your archive retention period: 60 days by default, which you can change in Settings → Archive retention. An archived RO with a follow-up date that hasn’t passed yet is kept until that date.

You can delete any RO yourself at any time.

When you scan an RO with your phone camera, the photo is sent to an AI service only to read the fields into the RO form. ROQFLOW does not save the photo. Only the fields you review and save become part of the RO.

Customer details only leave the board when you or your settings send them somewhere:

• Phone notifications you turn on: the waiter overdue alert includes the customer name and phone number; other alerts show the customer name and RO number.
• Carry-over emails you send include customer names and phone numbers.
• Excel / CSV exports you download include the RO details.

ROQFLOW does not message your customers and does not connect to your DMS or CRM.

Your RO and customer information is used only to run your board. It isn’t used for advertising. It is handled only by the service providers needed to run the app: hosting, email delivery (for login, password reset and the emails you send), the AI service that reads scans, and Stripe for billing.

The public ROQFLOW website uses Meta and Reddit advertising pixels to measure sign-ups. When you create an account, a hashed (scrambled) version of your email is sent to Reddit to count the sign-up. Customer information from your board is never sent to these services.

After several wrong passwords, login for that email is paused for a few minutes. Password-reset requests and shop join codes are limited the same way, to stop people from guessing.

Go to Settings and choose Delete my account. If you are the last login in your shop, the whole shop and all its ROs are permanently deleted and the subscription is cancelled. If other people still use the shop, only your login is removed and the shop’s board stays for them.
